Importing your existing data

How to import your chart of accounts, inventory, customers, and vendor data into Obsidyun from spreadsheets.

6 min read

What you can import

Obsidyun supports importing several types of data from CSV files: your chart of accounts, inventory items, customer records, and vendor records. This lets you migrate from spreadsheets or another system without manually re-entering everything.

Preparing your data

Before importing, make sure your data is formatted correctly. Obsidyun provides downloadable templates for each import type. The general rules apply across all imports.

  • CSV format only, max 5MB per file
  • First row must contain column headers
  • Names and codes must be unique within their type
  • Quantities and amounts should be in decimal format (e.g., 100.00)
  • Empty numeric fields will default to 0.00

Importing your chart of accounts

Your chart of accounts organizes all financial transactions and reporting. The required columns are Account Name, Account Type, Description, and Balance. Account types map to standard categories: Assets, Liabilities, Equity, Revenue, and Expenses. If you skip this step, Obsidyun creates a default chart of accounts for you.

Importing inventory

To import inventory items, you need at minimum the Product Name, Quantity, Unit Cost, and Price columns. You can also include optional fields like SKU, category, reorder point, and supplier. Test with a small sample file before importing your full inventory to catch any formatting issues.

Validation and troubleshooting

After uploading, Obsidyun validates your data and highlights any issues like duplicate names, missing required fields, or invalid formats. You can fix errors in your file and re-upload. The system will show you a preview of what will be imported before you confirm.
